This Refund & Cancellation Policy should be read together with our Terms & Conditions.

1. Retainers

1.1 All retainers (initial booking fees) paid to secure a date are non-refundable.
1.2 The retainer reserves your event date and time and prevents us from accepting other bookings for that slot.

2. Cancellations by Client

2.1 If you cancel our Services entirely:

• Cancellation more than 1 week before the event:

  • Retainer is non-refundable.

  • Any additional payments made beyond the retainer may be refunded in whole or in part, depending on any pre-production work already completed (e.g., planning, meetings, location scouting, script work).

• Cancellation within 4 weeks of the event:

  • Retainer is non-refundable.

  • Key Shots Visuals reserves the right to retain up to [Y%] of the total package price (or all amounts paid) to cover lost work opportunities and time reserved, especially if we’re unable to rebook the date.

2.2 All cancellations must be made in writing (email is sufficient) to be valid.

3. Rescheduling

3.1 If you need to reschedule:

• We will make reasonable efforts to transfer your booking to a new date, subject to availability.

• If the new date is available, payments already made (including the retainer) will be applied to the new date.

• A rescheduling fee of $50 may be charged, especially if the change is made within 1 week of the original date or causes significant additional costs.

3.2 If we are not available on your new date, it will be treated as a cancellation by you (see section 2).

4. Cancellations by Key Shots Visuals

4.1 If we must cancel due to serious illness, emergency, or circumstances beyond our control and we cannot provide Services:

• We will refund all payments you have made to us, including the retainer; and

• If possible, we will provide referrals to other videographers in the area (though we cannot guarantee their availability or pricing).

4.2 This refund is your sole remedy for our cancellation.

5. Partial Refunds & Deliverables

5.1 In rare situations where an event is cut short, or filming is significantly limited due to circumstances beyond our reasonable control (e.g., weather, venue restrictions, unexpected schedule changes), we will:

• Deliver the best possible film(s) based on the footage captured; and

• Review on a case-by-case basis whether a partial refund or credit is appropriate.

5.2 No refunds will be given solely based on style preferences if Key Shots Visuals has delivered work in line with our usual artistic standards and the agreed scope.

6. Digital Delivery & Download

6.1 Once final films are delivered digitally, it is your responsibility to download and back up copies.
6.2 Refunds are not available once the agreed final deliverables have been delivered, except in cases of technical error where files are corrupted or unwatchable and cannot be reasonably fixed or re-delivered.
